Reporting directly to the Executive Assistant to the President & CEO, this position aids in the day-to-day operations of OIC of South Florida’s front desk and works hand-in-hand with the Admissions Specialist to support the ongoing growth of OIC’s Workforce Academy.
The Administrative Coordinator is responsible for the efficient and professional direction and operation of the Reception area of the office and will provide confidentiality and formality in conjunction with strong interpersonal and communicative skills to maintain a high degree of professionalism. Primary duties include fielding telephone calls, answering participant questions and assisting with enrollment of participants in OIC’s programs and services.
Essential Duties and Responsibilities:
Greeting guests and visitors and directing them to the appropriate parties.
Assisting participants with enrollment in OIC’s Open House and Orientation.
Assisting in the facilitation of the in-person Open House and Orientation.
Data Collection and Data Entry of all participants who have registered and attended the in-person and virtual Open House and Orientation.
Handling basic office duties, such as answering and routing phones, responding to emails, maintaining client records, and data entry and reporting.
Answering questions and screening incoming phone calls referring to career training & development and the workforce academy as needed.
Providing information, guidance and support to participants regarding OIC’s Programs and Services
Supporting employees by facilitating interdepartmental communications and interactions between internal and external parties.
Ensuring that the Front Desk Area is well-maintained, organized, and all confidential information is secured properly.
Assisting with special projects, such as process improvements and budget development.
Supervise all phases of front desk/reception area operations, working directly with full/part-time personnel.
Provides a clear channel of communication and coordination between his/her front office personnel and various internal departments.
Assist OIC Management with the intake of candidates applying for and interviewing for the Bus Project. This includes, but is not limited to, scheduling and securing office space for interview sessions, obtaining background check information and other clerical duties as assigned.
Advises the Office Manager and/or the Accounting Manager of irregularities in operational expenditures or invoices
Maintains and updates documentation for both internal and external customers
Meets with clients as needed
Provide exceptional customer service
Maintain a professional image and demeanor with all employees, management, executives and visitors at all times.
Maintain and monitor office supply inventory levels and place orders as required.
Work collectively with the Admissions Specialist to support the Learning & Training Development of participants.
Education and/or Work Experience Requirements:
High school diploma or GED/equivalent is required. A degree or diploma in Business Administration is preferred. Experienced and highly qualified applicants without a degree will be considered.
Bilingual (English, Spanish, French, Creole) skills preferred
Previous experience as an Administrative Coordinator, or relevant role, considered an asset.
Ability to communicate effectively and clearly, both verbally as well as in writing.
Professional appearance and courteous manner with clear, polite phone voice.
Ability to work with guests and participants in a patient, calm and friendly manner.
Exceptional interpersonal and written and verbal communication skills.
Proficiency with office technology and equipment, including fax machines, printers, copiers, scanners, and computers.
Strong task and time management skills.
Basic math skills and understanding of basic financial concepts.
Ability to multi-task, work under pressure, and meet deadlines
Ability to work effectively, cooperatively, and diplomatically with students, staff, committees, and the public
